How to buy cable equipment?

This section will introduce the basic principles of cooperation with a Chinese equipment manufacturer, outline the workflow, and help answer the following questions:

The workflow between the Manufacturer and the Buyer is as follows:

  1. Negotiations

    The first stage of negotiations involves selecting and discussing the equipment configuration, its technical specifications, and capabilities. Our specialists will assist you in choosing the right production line. To maintain communication, we use email, mobile communication, and all major modern messaging apps.

    During the discussion, the production line is adjusted according to the Buyer’s requirements and the Manufacturer’s capabilities.

    The second stage of negotiations focuses on the commercial aspects of the deal.

    The outcome of the discussions is a commercial offer from the Manufacturer, which includes the price, delivery terms, lead time, payment terms, warranty period, and a specification detailing the technical characteristics of the line.

  2. Contract

    The contract is drafted in English. By agreement, either the form proposed by the Seller can be used, or the Buyer may provide their own. The contract reflects all previously agreed-upon commercial and technical terms. The most common delivery terms used are FOB, with CIF being less frequent. These are the two main delivery options when purchasing equipment.

    Once all contract terms are agreed upon by both parties, the contract is signed, and scanned copies are exchanged. The Manufacturer issues an invoice for the advance payment transfer. The delivery timeline for the equipment starts from the moment the first payment is received.

  3. Equipment readiness

    The production of cable equipment typically takes from 35 to 90 days, depending on the complexity of the line. The Manufacturer notifies the Buyer 15 days before the equipment is ready. The Buyer can then send a representative to conduct acceptance and testing or request photo and video reports of the test trials from the Manufacturer. After signing the acceptance certificate for the first stage of the equipment at the Manufacturer’s factory, the Buyer makes the second payment. The equipment is then packed and loaded into a container. Inside the container, all machine components are securely fastened.

    The container truck transports the container to the port for further loading onto the ship. The Manufacturer provides the following documentation:

    • Contract;
    • Commercial invoice;
    • Specification;
    • Bill of lading;
    • Packing list indicating the net/gross weight of each shipped item of equipment;
    • Export declaration from the sending country;
    • All documents required by port, customs, sanitary, or other administrative regulations related to the equipment;
    • Certificate of origin;
    • Equipment documentation: installation and operation manual, safety instructions, warranty card, technical data sheet, quality certificate, technical passport (user manual), electrical connection diagram

    Equipment delivery and customs clearance

    A transportation company will assist in organizing the transportation procedures at all stages. The logistics and customs clearance will be handled by them. The work of professionals will help save both time and money. The key is to choose a reliable company. The delivery of equipment to your cable manufacturing plant will take approximately 40 days.

  4. Installation and setup of cable equipment

    The installation of the equipment is carried out by the Buyer in accordance with the documents and instructions provided by the Seller. Drawings, rigging diagrams, and layout plans are sent by the Manufacturer in advance.

    Some lines may require foundation excavation and additional pouring—foundation drawings are also provided by the Manufacturer.

    Upon completion of the installation, the Buyer notifies the Seller about readiness for commissioning and setup work.

  5. Equipment commissioning

    The Seller is obligated to send specialists for commissioning, equipment startup, acceptance testing, and training of the Buyer’s operators and specialists. The Seller’s specialists will verify the quality of the equipment installation and ensure it meets the Seller’s requirements.

    The specialists will perform commissioning, configuration, test runs, and train the Buyer’s staff. Depending on the number and complexity of the lines, commissioning may take anywhere from 2 days to two weeks. The final result of these procedures is the full startup of the equipment and the signing of the acceptance certificate.

  6. Guarantees

    The guarantee consists of the provided favorable payment terms: 30% as an advance payment, 60% upon equipment readiness, and 10% after startup and signing the acceptance certificate.

    The warranty period is 24 months.

    Post-warranty service is available, with discussions and negotiations conducted by english-speaking staff.
